What you'll accomplish
By the end of this guide, you'll have a library of ready-to-use message templates for every client communication situation — re-engagement, difficult conversations, no-show follow-ups, milestone celebrations, consultation follow-ups — that you can grab, personalize with one line, and send in under 60 seconds.
What you'll need
Open a Google Doc (or Apple Notes) and title it: "Client Communication Templates — [Your Name]"
Create these sections as headers:
Type this at the start of your session:
I'm a personal trainer working with [your niche]. My tone is [warm/direct/motivational]. I'm going to ask you to write client communication templates. For each one, give me 2-3 variations with slightly different angles. Keep messages under 4 sentences (for texts) or 150 words (for emails). Sound like a real human, not a corporate brand. Don't use the word "journey."
Ask ChatGPT to create templates for each section of your library:
New lead inquiry response:
Write 3 response templates for when a new lead DMs or emails asking about my training services. Goal: warm, response that moves toward booking a free consultation. Keep it conversational.
Consultation follow-up:
Write 3 post-consultation follow-up email templates for different prospect situations: (1) they seemed very interested, (2) they seemed interested but hesitant about price, (3) they weren't sure about timing. Each should warmly recap the conversation and invite them to move forward.
Weekly check-in variations:
Write 15 weekly check-in text templates for personal training clients. Rotate among: progress check, motivation boost, accountability nudge, life-balance check-in, and celebrating small wins. Each under 3 sentences.
Re-engagement messages:
Write 5 re-engagement text templates for lapsed clients at different time gaps: (1) 2 weeks gone, (2) 1 month gone, (3) 3 months gone. Tone: warm and caring, no guilt, no discount offers.
No-show message:
Write 3 message templates for after a client no-shows without cancellation. Tone: concerned (check they're okay), not punitive. Then gently mention the cancellation policy. One text version, one email version.
Difficult conversation starter:
Write 3 message templates for starting a conversation with a client who is consistently cancelling, not following their nutrition plan, or making slow progress because of low adherence. Tone: caring and direct — I want to have a real conversation, not lecture them.
Copy each batch of templates into the appropriate section of your Google Doc. This is your permanent reference library.
Go through the templates and add [FILL IN] brackets where you'll personalize:

Add to your library anytime:
